GTA Launches Automated, Simplified APR Process
GTA launched an automated and simplified Agency Project Request (APR) process on March 3, 2008.
The changes were made in response to feedback from state agencies and to align the APR process with GTA’s new business model. They make the process quicker and easier while ensuring appropriate oversight of technology projects with a significant cost or impact on state operations.
The new APR form is completed and submitted entirely online. Other major changes include the following:
- We reduced the number of questions and level of detail.
- Questions focus more on conceptual-level information.
- Reviews will not focus on an agency’s core business.
- APRs will be reviewed on an exception basis. Examples include if the project is legislatively or federally mandated, if the project involves new technology, or if security requirements are rated as high.
- We reduced the levels of review.
- Notification letters to agency heads have been eliminated. Instead, e-mail responses are sent to an agency’s contact with copies to the Department of Administrative Services, the Office of Planning and Budget, and the agency’s GTA account manager.
- Use of the APR e-mailbox has been discontinued.
- APR names are no longer sequentially assigned numbers. Instead, the APR will be uniquely identified by the agency’s acronym, a brief project description and the submission date.
GTA account managers are continuing to work with agencies to gather any additional information needed to complete APR reviews.
GTA is partnering with the Office of Planning and Budget and state agencies to ensure only necessary information is collected. We are also working to provide agencies with more information about technology-related activities in other agencies.
